Privacy Policy

1. Introduction

This Privacy Policy explains how WED AI (operated by Wed AI Private Limited) collects, uses, and protects your information when you use our website, the studio dashboard, the WED AI Couple Space, guest and tourist galleries, the Android app, the WED AI Device, and the Editor Marketplace.

2. Information We Collect

• Account Information: Name, email, phone number, business details and login credentials for studios, editors and editing organizations.
• Photos and Videos: Event media uploaded manually, synced from a camera, or sent by the WED AI Device, for AI processing (culling, retouch, colour grading, album automation, AI Creator Studio), album and video production, Wed Cinema streaming, and gallery access.
• Face Data: Used for Face Scan (a guest finds only their own photos with a selfie), AI Culling (VIP face protection), Face Lock (keeping a person's identity unchanged in AI edits), and face-recognition login where the studio enables it. Face templates are stored per event or per account, are never sold, and are deleted when the event or account is deleted.
• Couple Space and Guest Activity: Photo selections, retouch requests, downloads, uploads and purchases made through the Couple Space, guest galleries and tourist galleries.
• Payment and Payout Information: Guest photo purchases, credit recharges and marketplace payments are processed by secure third-party payment gateways; card and bank details are not stored on our servers. Payout accounts (UPI or bank) are verified through the gateway and stored only as a verified reference.
• Device and Sync Data: The WED AI Device sends a heartbeat (camera model, battery level, Wi-Fi signal, upload counts, status) so your dashboard can show it live. Camera sync, crew uploads and multi-event sync record which device, crew link or account uploaded each photo.
• Marketplace Data: Editor profiles, rate cards, orders, chat messages, ratings and identity-verification documents submitted by editors and organizations for KYC.
• Technical Data: Device sessions, login history, IP address and browser information used for security, session management and fraud prevention.

3. How We Use and Share Information

Your information is used only to provide the services you use: AI processing of your media, album and video production, cinema streaming, guest and tourist galleries, credits and payments, the Editor Marketplace, the WED AI Assistant, and platform security. AI processing may involve trusted AI service providers who process media on our behalf and do not retain it beyond the job. We do not sell data. Data is shared only with your studio partner, the editors or organizations you choose to work with, payment gateway providers, and essential service providers. Each studio's data remains isolated; no other studio can see it. Guests see only their own photos; the couple sees their event; studio staff and crew see only what their role or event link allows.

4. Security & Data Retention

Data is protected with role-based access control, secure login options (password, OTP, face recognition, authenticator apps and two-factor authentication), device session controls with remote sign-out, signed and expiring gallery and cinema links, watermarking safeguards, and escrow-protected marketplace payments. Photos, films and account data are retained while the account is active or as required by law. Studios control per-event retention, upload locks and link expiry; unsold tourist photos auto-delete after 24 hours. Data can be securely deleted upon request.

5. The Android App — Permissions and Photos on Your Device

• Camera: used to scan the QR code that pairs a WED AI Device, and for Face Scan where you choose to use it. The app does not record video or take pictures in the background.
• Photos and media: used only by the auto-upload features you switch on yourself. Gallery auto-upload sends photos that arrive on the phone after you press START to the event you selected — photos already on the phone before that are never uploaded. Camera folder auto-upload watches the folder you pick from a connected camera; photos already in that folder when you press START are left alone.
• Your camera card and phone gallery are never touched: uploading always makes a copy. The app never deletes anything from a camera's card or from your phone's own gallery, whatever the setting or server response. When you delete a photo or an event inside WED AI, it is removed from WED AI only (a deleted event stays in the recycle bin for 7 days first); the copy on your camera or phone stays where it is.
• Notifications: used to show upload progress and to tell you when uploading stops (for example, if your login has expired).
• Background upload: uploading continues while the app is minimised so a shoot is not interrupted. You can stop it at any time from the app, and stopping takes effect immediately.
• Location: collected only when you tap to geo-tag photos yourself. It is not tracked in the background.

5A. WED AI Websites and YouTube Songs

Invite and greeting pages. When a studio makes an invite or greeting page with WED AI Websites, the names, dates, venue, photos and messages it types are shown to anyone who has that page's link. Pages are not listed on search engines and close automatically after their dates. Guests who reply may give a name, a phone number and a message: phone numbers are shown only to the studio that made the page and are erased once the page closes. A receiver can close any page and report it at any time. Taps and answers on a page are shared with the person who sent it, and the page says so.

YouTube. A page may play a song from YouTube. WED AI uses YouTube API Services for this: the official YouTube player shows the song, and studios can search YouTube for a song by name. By watching or listening to a YouTube video on a WED AI page you agree to the YouTube Terms of Service, and YouTube's handling of your data is covered by the Google Privacy Policy. We store only the video's ID, its title and the start time the studio chose; we never download, copy or store the song, and we do not access your YouTube or Google account. The player is loaded from YouTube's privacy-enhanced domain (youtube-nocookie.com) and only after you tap to start. If you have connected a Google account anywhere in WED AI, you can remove that access at any time from your Google security settings.

6. Your Rights, Account Deletion & Contact

You can ask us to access, correct or delete your data — including face data, Couple Space activity, marketplace records or device data — at any time.

To delete your account: open Account Settings → Delete my account, confirm with the one-time code sent to your registered mobile or email, and type DELETE. Because a studio account holds client wedding photos, your events stay recoverable for 7 days and are then permanently deleted; you can undo the deletion by simply logging in again within 30 days. Storage for those 7 days is charged when you ask. You can also ask us to delete it by email, WhatsApp or phone using the details in the Contact/Support section below. Records we must keep by law (such as tax and payment records) are retained for the period the law requires, and nothing else is kept.
